Review outstanding checks by carrying forward the prior list, identifying payments that cleared, adding newly issued checks that remain uncleared, and documenting any approved corrections. Age is a prompt to investigate. It does not, by itself, establish that a check should be deleted, reversed or replaced.
For a property-management firm, each item also needs its bank account and owner, property or beneficiary reference. This guide organizes the evidence; it does not set legal deadlines or decide rights to funds.
Begin with the prior reconciliation
Use the saved outstanding-check list from the last completed review. Match each item to the current bank statement and available check images or transaction detail. Buildium defines bank reconciliation as comparing the books with bank records to identify differences. The rollforward below makes that comparison visible across periods.
Use a stable payment reference rather than amount alone. Two checks for $600 may have different payees, dates and property assignments. Where a bank uses a different identifier, retain the link between the accounting payment record and the bank reference.
Worked example: explain the ending list
Illustrative monthly review. The opening outstanding list totals $6,200. During the month, $4,100 of those checks clear. Newly issued checks totaling $2,900 remain outstanding. No voids or other adjustments have been authorized.
The ending outstanding amount is $6,200 − $4,100 + $2,900 = $5,000.
The preparer should be able to list the individual payments behind every part of that calculation. A $5,000 total typed into a reconciliation sheet without those references cannot explain what changed.
Next month, keep the same identifiers for the surviving items. If a correction is authorized, show it as its own supported change in the rollforward. Do not overwrite the opening list to make the history look as though the original payment never existed.
Classify the next action by evidence

Do not infer that a stop-payment request succeeded merely because someone emailed the bank. Retain the bank’s response and the responsible person’s decision. Avoid creating a replacement that could leave two payments active without the required review.
Keep aging useful
Add issue date, days outstanding, last follow-up, assigned person and next action. The management team can set review intervals suitable for its operations. Label those as internal review intervals, not universal legal deadlines.
Separate “no action taken” from “action taken, awaiting evidence.” Both may remain outstanding, but they need different follow-up. Escalate disputed, unexplained or unusual items to the responsible manager. Questions about unclaimed funds, entitlement, bank enforceability and state requirements go to the appropriate adviser.
Check both sides after a correction
A payment change may affect the cash book and a beneficiary ledger. After an authorized correction, verify the linked records and re-run the same-cutoff reports. Retain the before-and-after explanation with the approval evidence.
Never add an unsupported adjustment merely to remove a reconciliation difference. Equally, do not leave a known authorized correction only in a spreadsheet when the accounting record still tells a different story.
What belongs in the monthly packet?
Include the beginning list, cleared-item references, newly outstanding items, supported adjustments, ending list and unresolved actions. Link it to the same-cutoff reconciliation packet.
